The Problem
Private markets investing has historically been plagued by manual, paper-intensive processes. For wealth management firms partnering with Opto, each client investment requires a substantial package of subscription documents - operating agreements, investor questionnaires, accreditation certifications, tax forms, and fund-specific disclosures. These documents must be assembled with precise investor data, delivered for signature, and processed before capital can be deployed.
Before implementing an automated solution, Opto faced several operational challenges. Each subscription document package had to be manually assembled from templates, with investor information painstakingly copied across multiple forms. This manual data entry was time-consuming and created opportunities for errors - a mistyped account number or incorrect entity structure could delay an investment by days or weeks while corrections were made.
The signature collection process added further complexity. Documents needed to be routed to the right signers (which could include individual investors, trustees, entity representatives, or multiple parties for joint accounts), tracked through completion, and stored securely. The Solution
Opto built their subscription document workflow on Anvil Workflows, creating a seamless process from data collection through final execution.
The architecture leverages Opto's existing client-facing platform to collect investor information through their own custom webforms. Once an investor completes their information, Opto sends that data payload directly to Anvil's API. This approach allows Opto to maintain their branded user experience while taking advantage of Anvil's document automation capabilities.
Using Anvil's Advanced Editor, the Opto team converted their subscription document templates into fillable PDFs with intelligent field mapping. The editor allowed them to quickly identify and map data fields across complex multi-page documents, ensuring that investor information flows consistently across all required forms. This one-time template setup eliminated the need for manual data entry on every subsequent investment.
When an investor is ready to invest, Anvil Workflows orchestrates the entire document assembly process. The system automatically generates a complete subscription packet with all forms pre-filled with the investor's data. What used to require hours of manual work copying information across forms now happens instantly.
For signature collection, Opto integrates Anvil with DocuSign. Once the documents are generated and pre-filled by Anvil, they're automatically routed to DocuSign for electronic signature. This integration allows Opto to leverage DocuSign's enterprise e-signature capabilities while benefiting from Anvil's superior document generation and data population features. The workflow handles the complexity of multi-party signatures, ensuring the right documents reach the right signers in the correct sequence.
All completed subscription documents are automatically stored and organized within Opto's platform, creating a complete audit trail and eliminating the need for manual filing. Investment advisors can access any client's subscription documents instantly, and Opto's compliance team has full visibility into the status of all pending investments.
By building on Anvil Workflows and integrating with their existing technology stack, Opto avoided the complexity and cost of building document automation infrastructure in-house. This allowed their engineering team to focus on their core platform capabilities while Anvil handled the document complexity.
